Applying for a Dutch rental: documents and privacy

A clear application helps a landlord understand your situation, but that does not mean sending a complete identity file and bank history to every contact. Verify the property and recipient, then prepare documents for a specific purpose. Use the rental application checklist for your employment or study situation.

Clarify the property and costs

Record the address, basic rent, service charges, energy costs, deposit, start date, permitted occupants and registration conditions. Keep the listing and correspondence. Do not decide solely on photographs and pressure to pay when the property or person cannot be reasonably verified.

Match income evidence to your situation

An employee may be asked for a contract, employer statement and recent payslips. A student may use admission or enrolment evidence with scholarship or other payment-capacity information. A freelancer may need KvK details, accounts or an accountant’s statement.

Requirements vary. Ask which information and period are needed before repeatedly sending extensive records. If a guarantor is requested, read the responsibility, duration and release conditions before agreeing.

Limit identity disclosures

Checking identity and retaining a complete copy are different actions. Ask why a document is needed, how it will be used and whether retaining a copy is necessary. Redact information that is not needed. Where a copy is appropriate, mark its purpose and date and consult official KopieID guidance.

The Dutch government explains that only certain organisations may make copies of identity documents: see the official ID-copy guidance. Similarly, do not automatically disclose all transactions, an unredacted BSN or unrelated information. Ask for the purpose of an extra request.

Separate the landlord’s test from your budget

Clarify whether the listing uses gross or net income, whether a partner’s income counts and which evidence is accepted. A landlord accepting an application does not mean the property is comfortable for your budget. Include utilities, internet, commuting and everyday expenses.

Check the agreement and handover

Read costs, duration, termination, maintenance responsibilities and the payment recipient in the agreement. At handover, record the property condition, inventory, keys and meter readings; retain dated photos and payment records. The deposit calculator provides a separate budget and deposit reference.
